Check your policy first
Whether orthodontic treatment is covered depends entirely on your policy. Some policies do not cover orthodontics at all, some cover it only for certain ages, and others require pre-approval. Asking your insurer, or your employer's HR department, in writing before treatment starts helps you avoid surprises later.
Questions to ask your insurer
- Does my policy cover orthodontic treatment (clear aligners or braces)?
- Is there an age limit, waiting period or annual limit?
- Is pre-approval required before treatment starts?
- Which documents are needed for reimbursement, in which language and in what format?
- Do the documents need to be translated or certified?
Commonly requested documents
The documents insurers ask for vary. The list below is for general orientation only; please get the exact list from your insurer.
| Document | What it is for |
|---|---|
| Examination and diagnosis report | Shows that the need for treatment has been assessed by a dentist |
| Treatment plan | Describes the proposed method and estimated duration |
| Invoice | Documents the payment made |
| X-rays and photo records | Some insurers request them for their assessment |
You can discuss with the clinic at your examination which language the documents can be prepared in and how long they take.
How to prepare with the clinic
- Mention when booking that you need documents for your insurance.
- If your insurer has a specific form or template, bring it to the examination.
- At the first orthodontic examination the diagnosis and treatment options are discussed; the treatment plan is prepared after this assessment.
- If pre-approval is required, it is advisable not to start treatment before it arrives.
Whether the clinic has a direct billing arrangement with an insurer and how reimbursement works depends on your policy and insurer. We therefore recommend clarifying payment and reimbursement terms in advance with both your insurer and the clinic.
During and after treatment
Because orthodontic treatment can last from a few months to two years, some insurers assess payments spread over the treatment period rather than all at once. Stages such as check-ups, additional aligner sets or retention (retainers) may need to be documented separately. It is therefore useful to ask your insurer in advance which document is needed at each stage.
- Keep a copy of every invoice and payment document.
- Note the dates of the documents you send to your insurer.
- Consider your policy renewal date together with your treatment timeline.
- If you may leave Ankara or move to another country, mention it at the examination so the treatment plan can take it into account.
Insurance provided by your employer
Many foreigners working in Ankara are covered by insurance provided by their employer, an embassy or an international organisation. Orthodontic coverage and the claims procedure can differ from one organisation to another. Your organisation's HR department can tell you which forms to use and where to send documents. If you are considering an orthodontic assessment for your children, we recommend also asking separately about cover for family members.
Which language should the documents be in?
Some international insurers require documents in English, while others accept Turkish documents and arrange their own translation. Whether a sworn translation or notarisation is needed also varies between insurers. Agreeing in advance with both your insurer and the clinic which language the documents can be issued in, and who will translate them, helps avoid delays in reimbursement. If you have questions about language, you can speak to the English-, German- or Russian-speaking members of our team.
